Privacy Policy

This Privacy Policy describes how TechWrite Solutions LLC (“AgileDocs,” “we,” “us,” or “our”) collects, uses, discloses, and protects personal information in connection with the AgileDocs website, platform, hosted workspaces, APIs, documentation tools, AI-assisted features, and related services (collectively, the “Services”).

This Privacy Policy also explains your choices and rights regarding your personal information.

By accessing or using the Services, you acknowledge that you have read this Privacy Policy.

1. Scope

This Privacy Policy applies to personal information we collect when you:

  • visit our website;
  • create an account or use the Services;
  • communicate with us;
  • request a demo, support, or other information;
  • submit content, prompts, or documentation through the Services; or
  • otherwise interact with AgileDocs in a business or commercial context.

This Privacy Policy does not apply to:

  • information processed solely on behalf of a customer under a separate written agreement where we act as a processor or service provider;
  • third-party websites, services, or applications that are not controlled by AgileDocs; or
  • information that has been anonymized or de-identified so that it can no longer reasonably be linked to an identifiable person.

For purposes of applicable privacy law, TechWrite Solutions LLC is generally the controller of personal information described in this Privacy Policy unless a customer relationship or written agreement provides otherwise.

3. Controller and Processor Roles

Depending on the context, AgileDocs may act either as:

  • a controller of personal information, when we decide how and why personal information is processed for our own business purposes, such as account administration, billing, support, service security, and website operations; or
  • a processor or service provider, when we process personal information on behalf of a customer and in accordance with that customer’s instructions and applicable agreements.

If you use AgileDocs through an organization, workspace, or customer account, that organization may control certain processing of your personal information. In that case, questions about that processing should also be directed to the relevant organization.

4. Personal Information We Collect

We may collect the following categories of personal information, depending on how you use the Services:

A. Account and Contact Information

This may include your name, email address, company name, job title, account credentials, and other information you provide when creating an account or communicating with us.

B. Billing and Transaction Information

If you purchase paid Services, we may collect billing contact information, subscription details, invoice records, transaction history, and related payment information. Payment card details may be processed by our payment service providers rather than stored directly by us.

C. Service Content and Workspace Data

We may collect content you upload, submit, store, or generate through the Services, including documents, prompts, queries, instructions, outputs, metadata, configuration settings, comments, workspace materials, and support submissions.

D. Usage, Device, and Log Information

We may automatically collect technical information about how you access and use the Services, including IP address, browser type, device type, operating system, approximate location derived from IP, referring URLs, pages viewed, timestamps, clickstream information, API usage data, error logs, and similar diagnostic information.

E. Cookies and Similar Technologies

We may collect information through cookies, pixels, local storage, and similar technologies used to operate the website, remember preferences, analyze usage, maintain security, and improve the Services.

F. Communications and Support Information

We may collect information you provide when you contact us, request support, participate in a survey, submit feedback, or otherwise communicate with AgileDocs.

G. Information from Third Parties

We may receive information from service providers, integrations, authentication providers, payment processors, analytics providers, referral sources, and your organization or workspace administrator.

5. How We Collect Personal Information

We collect personal information:

  • directly from you;
  • automatically when you use the Services;
  • from your organization, if it provisions or administers your access;
  • from integrated third-party services you choose to connect; and
  • from vendors and service providers that support the Services.

6. How We Use Personal Information

We may use personal information to:

  • provide, operate, maintain, and improve the Services;
  • authenticate users and administer accounts;
  • process transactions, invoices, subscriptions, and payments;
  • provide customer support and respond to inquiries;
  • generate, analyze, transform, summarize, retrieve, and deliver requested outputs and platform functionality;
  • protect the security, integrity, availability, and reliability of the Services;
  • detect, prevent, investigate, and respond to fraud, abuse, misuse, and security incidents;
  • monitor performance, troubleshoot errors, and conduct analytics;
  • send administrative, transactional, technical, legal, and support-related communications;
  • comply with legal obligations and enforce our agreements; and
  • create aggregated or de-identified analytics, metrics, and reports that do not identify you.

We do not use content submitted through the Services to train public, shared, or general-purpose AI models.

7. AI Processing

AgileDocs may use third-party AI model and infrastructure providers to process content submitted through the Services solely as necessary to provide the requested functionality and operate the Services.

In connection with AI-assisted features:

  • content submitted to the Services may be transmitted to third-party AI model and infrastructure providers solely to generate, analyze, transform, summarize, retrieve, or otherwise provide requested outputs and service functionality;
  • we do not sell service content submitted through the Services;
  • we do not use content submitted through the Services to train public, shared, or general-purpose large language models; and
  • we require third-party AI model and infrastructure providers and subprocessors used in connection with the Services to process content submitted through the Services only for service delivery, security, support, or related operational purposes, and not for their own general-purpose model training in connection with the Services.

AI-generated or AI-assisted outputs may be incomplete, inaccurate, or unsuitable for your intended use. You are responsible for reviewing and validating outputs before relying on them.

Please do not submit unnecessary sensitive personal information, regulated data, or other high-risk content through the Services unless we have expressly agreed in writing to support that use case.

8. Legal Bases for Processing

Where required by applicable law, we rely on one or more of the following legal bases to process personal information:

  • performance of a contract or taking steps at your request before entering into a contract;
  • our legitimate interests, such as operating the Services, securing the platform, improving functionality, communicating with users, and preventing misuse;
  • compliance with legal obligations; and
  • your consent, where required by law.

Where we rely on consent, you may withdraw it at any time, although doing so will not affect the lawfulness of processing that occurred before withdrawal.

9. How We Disclose Personal Information

We may disclose personal information to the following categories of recipients:

A. Service Providers and Subprocessors

We may disclose personal information to vendors and subprocessors that help us operate the Services, such as providers of hosting, cloud infrastructure, authentication, payment processing, customer support, email delivery, analytics, security, and AI processing.

B. Customer Organizations and Administrators

If you use the Services through an organization, workspace, or managed account, certain information may be available to that organization and its authorized administrators.

C. Professional Advisors and Corporate Counterparties

We may disclose personal information to our lawyers, accountants, auditors, insurers, financing sources, and potential buyers or counterparties in connection with a merger, acquisition, financing, restructuring, or sale of assets.

D. Legal and Safety Disclosures

We may disclose personal information where reasonably necessary to:

  • comply with applicable law, regulation, legal process, or enforceable governmental request;
  • enforce our Terms or other agreements;
  • protect the rights, property, safety, or security of AgileDocs, our users, or others; or
  • detect, prevent, or investigate fraud, abuse, or security incidents.

E. With Your Direction or Consent

We may disclose personal information where you direct us to do so or otherwise consent.

We do not sell personal information for monetary consideration.

10. Cookies and Similar Technologies

We may use cookies and similar technologies to:

  • keep you signed in;
  • remember preferences and settings;
  • operate core site and service functionality;
  • understand usage patterns and performance;
  • improve the Services; and
  • support security and fraud prevention.

You can manage cookies through your browser settings. Disabling certain cookies may affect the availability or functionality of the Services.

If we use analytics or similar tools, those tools may collect technical and usage information about your interaction with the Services.

11. Data Retention

We retain personal information for as long as reasonably necessary for the purposes described in this Privacy Policy, including to:

  • provide the Services;
  • maintain your account and workspace;
  • comply with legal, tax, accounting, and regulatory obligations;
  • resolve disputes;
  • enforce agreements; and
  • protect against fraud, misuse, and security incidents.

Retention periods may vary depending on the type of information, the nature of the customer relationship, technical requirements, backup and disaster recovery practices, and legal obligations.

When personal information is no longer reasonably necessary, we will delete it, de-identify it, or retain it in a form permitted by applicable law.

12. Data Security

We use commercially reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, use, disclosure, alteration, or destruction.

No method of transmission over the internet or electronic storage is completely secure. Accordingly, we cannot guarantee absolute security.

You are responsible for safeguarding your credentials, using strong passwords, and notifying us promptly if you believe your account or information has been compromised.

13. International Data Transfers

We and our service providers may process personal information in the United States and other jurisdictions where we or our vendors operate.

If you access the Services from outside the United States, you understand that your personal information may be transferred to, stored in, and processed in countries that may have different data protection laws than your country of residence.

Where required by applicable law, we will use appropriate safeguards for international transfers of personal information.

14. Your Rights and Choices

Depending on your location and applicable law, you may have certain rights regarding your personal information, which may include the right to:

  • access personal information we hold about you;
  • correct inaccurate personal information;
  • delete personal information;
  • receive a copy of certain personal information in a portable format;
  • object to or restrict certain processing;
  • withdraw consent where processing is based on consent; and
  • appeal a decision relating to a privacy request, where such rights are provided by law.

You may also have the right to designate an authorized agent to make certain requests on your behalf, where permitted by law.

To exercise privacy rights, please contact us at info@agiledocs.ai. We may need to verify your identity before processing your request. We will not discriminate against you for exercising privacy rights granted by applicable law.

If you use AgileDocs through an organization or customer account and AgileDocs processes your information on that customer’s behalf, you may need to direct your request to that customer first.

15. Marketing Communications

We may send you service-related, administrative, transactional, and legal notices as part of operating the Services. These communications are not promotional in nature.

If we send marketing emails, you may opt out by using the unsubscribe mechanism in the message or by contacting us. Opting out of marketing messages will not affect service-related communications.

16. Sensitive Information

Unless expressly agreed in writing, the Services are not intended for the routine submission of:

  • protected health information;
  • payment card information;
  • government-issued identifiers;
  • classified information;
  • export-controlled information; or
  • other highly sensitive or regulated information.

Please do not submit unnecessary sensitive personal information through the Services. If you choose to do so without a written agreement covering that processing, you do so at your own risk.

17. Children’s Privacy

The Services are intended for business and professional use and are not directed to children. We do not knowingly collect personal information from children under 13, and we do not intend for the Services to be used by minors where prohibited by law.

If you believe a child has provided personal information to us in violation of applicable law, contact us and we will take appropriate steps to review and address the issue.

18. Third-Party Services and Links

The Services may contain links to third-party websites, integrations, or services, or permit you to connect third-party tools. We are not responsible for the privacy, security, or information practices of third parties.

Your use of third-party services is governed by those third parties’ own terms and privacy policies.

19. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we will post the updated Privacy Policy and revise the Effective Date above.

Your continued use of the Services after an updated Privacy Policy becomes effective constitutes your acknowledgment of the revised policy, to the extent permitted by law.
